Planned and reactive maintenance explained

A well structured maintenance contract combines both planned preventative maintenance and reactive call-out cover. Here is how each one works and why both matter for your building.

Planned preventative maintenance (PPM)

PPM is scheduled maintenance carried out at regular intervals to keep building systems and equipment running efficiently and to catch small issues before they become expensive problems. A typical PPM schedule for a commercial building covers annual boiler servicing, electrical inspection and testing, water hygiene checks and regular fabric inspections. PPM reduces the risk of unexpected breakdowns, extends the life of building assets and keeps your property compliant with statutory requirements.

Reactive maintenance

Reactive maintenance covers call-outs for unexpected faults and failures that cannot wait for a scheduled visit. A burst pipe, a failed boiler, an electrical fault or a broken door. Reactive maintenance gets the right trade on site to diagnose and fix the problem as quickly as possible. We cover reactive call-outs across Newcastle, Gateshead, North Tyneside, South Tyneside and Northumberland.

Statutory compliance

Statutory compliance built into every maintenance contract

Commercial property owners and facilities managers have a legal obligation to maintain their buildings to certain standards. Failing to meet statutory compliance requirements can result in fines, insurance issues and in some cases criminal liability. We build statutory compliance into every maintenance contract we operate so nothing gets missed and nothing falls out of date.

Gas safety

Commercial gas appliances and pipework must be inspected and certified annually by a Gas Safe registered engineer. We carry out annual commercial gas safety inspections across the North East and issue certificates on completion as part of your maintenance contract.

Electrical safety

Commercial properties require periodic Electrical Installation Condition Reports carried out by a qualified electrician. The frequency depends on the type of property and its use. Our NICEIC certified electricians carry out commercial EICRs across the North East and provide certificates on completion.

Water hygiene

Commercial properties have a legal duty to manage the risk of Legionella bacteria in water systems. This requires a written Legionella risk assessment and a programme of regular monitoring and control measures. We can include water hygiene monitoring and temperature checks in your PPM schedule to keep your property compliant.

Fire safety

Fire alarm systems and emergency lighting must be tested and serviced regularly to comply with the Regulatory Reform Fire Safety Order. We include fire alarm and emergency lighting testing in our maintenance contracts to keep your property compliant and your occupants safe.

What does a commercial maintenance contract include?

At the start of the contract we carry out a full site survey and produce an asset register covering every piece of plant and equipment on site. We then produce a PPM schedule covering all planned maintenance visits throughout the year and agree the reactive call-out cover included in the contract. Monthly reporting covers every job raised, every job closed and any outstanding issues or asset concerns. Every contract is tailored to the specific needs of the building and the client.
Do you offer both planned and reactive maintenance?
Yes. Our maintenance contracts cover both planned preventative maintenance and reactive call-out cover. PPM visits are scheduled throughout the year to keep building systems running efficiently and to carry out statutory compliance inspections. Reactive cover is available for unexpected faults and failures that need to be dealt with quickly. We recommend combining both in a single contract as PPM reduces the frequency of reactive call-outs and reactive cover ensures urgent issues are dealt with promptly when they do arise. The balance between planned and reactive cover is agreed at the start of the contract based on the specific needs of the building.
Can you cover multiple sites under one contract?
Yes. We regularly operate maintenance contracts across multiple sites for the same client throughout the North East. A multi-site contract gives you one point of contact, one contract, one invoice and consistent reporting across all your properties. We carry out a site survey and produce an asset register for each property at the start of the contract and include all sites in the monthly reporting so you have a clear picture of maintenance activity and compliance status across your entire portfolio.
Do you handle statutory compliance as part of the contract?
es. Statutory compliance is built into every maintenance contract we operate. This covers annual gas safety inspections carried out by our Gas Safe registered engineers, periodic electrical condition reports carried out by our NICEIC certified electricians, water hygiene monitoring and Legionella control and fire alarm and emergency lighting testing. We track all compliance renewal dates and carry out inspections before anything falls out of date so you are never at risk of non-compliance. All certificates and compliance documentation are provided on completion of each inspection.
Do you work with domestic clients as well as commercial?
Yes.
